High Impact Group Pty Ltd (trading as High Impact Academy) ("we", "us", "our") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, store and protect your personal information when you use the advantAIge platform.
2. Information We Collect
We collect the following types of information:
- Account information: name, email address, company name and role
- Assessment data: your responses to leadership assessments and 360 feedback from managers and peers
- Development data: development plans, journal entries, weekly reflections and coaching conversations
- Operating system data: scorecards, commitments, issues and meeting notes for enterprise users
- Usage data: how you interact with the platform, features used and session duration
- Payment information: billing details processed securely by Stripe (we do not store card numbers)
3. How We Use Your Information
We use your information to:
- Provide and improve the advantAIge platform
- Generate personalised AI coaching and development recommendations
- Create assessment reports and development plans
- Provide enterprise administrators with aggregate team insights (individual responses are never shared)
- Process payments and manage subscriptions
- Send transactional emails (magic links, notifications, invitations)
- Analyse usage patterns to improve the platform
4. AI and Data Processing
Our platform uses AI (powered by Anthropic's Claude) to provide coaching, analysis and recommendations. When you interact with AI features:
- Your inputs are sent to our AI provider to generate responses
- We do not use your data to train AI models
- AI conversations are stored to provide continuity and improve your experience
- You can request deletion of your AI conversation history at any time
5. Data Sharing
We do not sell your personal information. We share data only with:
- Service providers: Supabase (database hosting), Anthropic (AI processing), Stripe (payments), Resend (email delivery), Vercel (hosting)
- Enterprise administrators: aggregate team data only, never individual assessment responses or coaching conversations
- Legal requirements: if required by law or to protect our rights
6. Cross-Border Data Disclosure (APP 8)
To deliver the advantAIge platform, we disclose personal information to overseas recipients. Before disclosing your information, we take reasonable steps to ensure that the overseas recipient handles it in accordance with the Australian Privacy Principles. By using the platform, you acknowledge and consent to these cross-border disclosures, which are necessary for service delivery.
Our service providers and the countries in which they operate are:
- Anthropic (United States): AI processing of coaching conversations, assessments and development recommendations
- Voyage AI (United States): Content embeddings for knowledge retrieval and semantic search
- Stripe (United States): Payment processing and subscription management
- Resend (United States): Transactional emails including sign-in links, notifications and invitations
- Vercel (United States): Application hosting, serverless functions and server logs
- Supabase (AWS Asia-Pacific region): Database hosting, authentication infrastructure and file storage
We only share the minimum information necessary with each provider to perform their specific function. We do not disclose personal information to overseas recipients for marketing or any purpose unrelated to the delivery of our services.
7. Data Security
We implement appropriate technical and organisational measures to protect your data, including encryption in transit (TLS), secure authentication (magic links with time-limited tokens), row-level security in our database and regular security reviews.
8. Data Retention
We retain your data for as long as your account is active. If you cancel your subscription, your data is retained for 90 days to allow for reactivation, after which it is permanently deleted. You can request immediate deletion at any time by contacting us.
9. Your Rights
You have the right to:
- Access your personal data
- Correct inaccurate information
- Request deletion of your data
- Export your data in a portable format
- Withdraw consent for optional data processing
- Lodge a complaint with the Australian Information Commissioner
10. Community Platform and Member Interaction
Our chat-based community exists to support professional learning and peer engagement. While we do not actively monitor all posts, we reserve the right to moderate, edit or remove content that:
- Violates our policies
- Includes offensive, harmful or unlawful material
- Shares confidential or sensitive information
- Includes the personally identifiable data of others without consent
Information shared in the community may be stored and used to improve services and support. Do not share confidential client, employer or personal data in the community.
11. Cookies
We use essential cookies for authentication (session management). We do not use tracking cookies or third-party advertising cookies. Analytics, where used, are privacy-respecting and do not track individual users across sites.
12. Third-Party Links
Our platform may include links to third-party sites or services. We are not responsible for the privacy practices of these providers. Please review their policies before use.
13. Children
Our platform is not designed for users under the age of 16. We do not knowingly collect personal data from children.
14. Changes to This Policy
We may update this policy periodically to reflect platform or regulatory changes. Any updates will be posted here with a new effective date.
